Business travel, arranged once and repeated properly
A company rarely needs one car. It needs the same standard on Tuesday that it got last Thursday, booked by someone who is not the passenger, for a person whose schedule may move.
How a corporate booking runs
A request needs four things: where the traveller is collected, where they are going, the time they need to arrive, and a mobile number that reaches them. Everything else is useful rather than necessary. We confirm the vehicle category and the pickup time back in writing, so the person who booked it has something to forward.
Pickup times are worked backwards from the arrival time, using the conditions that actually apply. A 9:00am meeting on King West and a 9:00am meeting in Markham are not the same booking, and neither is the same trip at 2:00pm. Downtown pickups also get checked against where a car can legally stop — several towers on Bay and Wellington have an entrance the building uses and an entrance a vehicle can use, and they are not always the same door.
Once a pattern is established, it stops being re-booked from scratch. A weekly client site visit, a monthly board meeting, or a standing Friday afternoon run to the airport is set up once and repeated. That is the point at which most companies move to an account, because the arranging is what costs an assistant time, not the ride.
Chauffeurs do not discuss who they carried or where they went. For a firm moving people to a negotiation, a diligence session or an interview, that is not a courtesy, it is the requirement.

What companies actually book
Corporate transportation is not one trip type. These five cover most of the volume.
The inbound visitor
Head office sends someone in for two days. Met at the terminal, moved between the hotel and the office, returned to their flight.
The board meeting day
Six or eight directors arriving separately within the same hour, from different addresses, into one building.
The client site run
A team out to Mississauga, Markham or Oakville and back, where splitting across personal cars costs the meeting its start time.
The early departure
A 5:30am pickup for a first flight, booked the previous week and confirmed the night before.
Candidate and guest travel
Someone the company wants to impress, who should not be working out the UP Express on their own.
The late finish
A deal that closes at 11:00pm and a car that is already outside, rather than a search for one.
